Corporate Records Clerk - Junior LAA or student

Our law firm client is a corporate commercial firm of solicitors located in downtown Vancouver.  They are currently looking for 1 to 2 part-time students to assist us with the annual reporting and document maintenance systems for their clients’ companies.  The position has flexible hours of approximately 15- 20 hours per week.  The position suits an organized student with an interest in Business and Corporate law.  This is not a summer position.

SUMMARY OF PROCEDURES FOR ANNUAL MAINTENANCE TASK

  • Generate monthly Annual Report summary from ALF (database system – training will be provided);
  • Access ALF card and review status of tasks and ALF notes – see if any tasks are pending and review with file, Records Book and corporate summary;
  • Bring all pending tasks (if any), except previous annual maintenance tasks, to paralegals’ attention and discuss whether the annual maintenance documents can be prepared or are to be put on hold (make note in ALF if on hold);
  • Generate current annual maintenance documents through ALF including cover letter and corporate summary (will generate any previous year’s annual maintenance documents which remain outstanding – task pending);
  • Generate bill through PC Law (training will be provided);
  • Have responsible lawyer review annual maintenance documents and sign cover letter and bill;
  • Scan annual letter, maintenance documents and bill for file and Records Book;
  • Email/mail out annual maintenance documents;
  • Record on summary report that documents have been sent out;
  • Receive signed annual maintenance documents back from client and file annual report via ALF;
  • Scan signed annual maintenance documents for file;
  • Sign off on summary report that documents have been returned and A/R filed; and
  • File documents in Records Book and corporate file and return Records Book to Records Book room.
