Legal Administrative Assistant

Description:

The College of Veterinarians of British Columbia is looking for a new team member to join them. They are looking for someone with great organizational and interpersonal skills, enthusiasm, and joy for working in smaller office environments.

The LAA will provide organization, document management and administrative support to the Complaints and Discipline processes of the College.

Duties and Responsibilities:

  • Process letters of complaint from the public about veterinarians
  • Provide document management, administrative and communications support for the staff lawyers, investigators and Investigation Committee (IC)
  • Compile documents for the IC meeting agenda, including formatting and compiling materials using Adobe Acrobat Pro
  • Schedule and organize meetings
  • Attend meetings and draft minutes
  • Track all complaints and discipline case progression and outcomes using Microsoft Dynamics and Excel
  • Manage electronic and hard copies of all documentation
  • Answer phone calls and emails from veterinarians, the public and investigators
  • Provide general and communications support to management
  • Assist with filing and archiving of College documents
  • Assist with other office duties as required.

 Qualifications:

  • Post-secondary training in legal support, e.g. Legal Administrative Assistant Certificate
  • Excellent oral and written English language skills
  • Strong attention to detail and organizational skills
  • Ability to confidentially deal with sensitive information
  • Ability to professionally deal with difficult situations involving veterinarians and the public
  • Ability to professionally deal with a large number of confidential legal documents
  • Strong computer skills in word processing and document management (Microsoft Office including Word, Outlook, Sharepoint, Dynamics, and Excel; Adobe Acrobat Pro)
  • Ability to take initiative to solve problems and add value wherever possible
  • Ability to multi-task and prioritize daily, weekly and monthly work duties
  • Ability to work under time constraints both independently and in a team
  • Minimum 2 years of experience in legal support, preferably in litigation or professional regulatory environment
